Best Virtual Assistant Agencies for Small Businesses: 2026 Buyer's Guide

By The Peak Hire editorial teamLast reviewed September 9, 2026

Searching for the best virtual assistant agencies usually returns ranked lists with scores nobody can verify. This guide takes a different approach: it gives you the six criteria that actually decide whether a virtual assistant company works for your business, a shortlist of providers with the type of buyer each tends to suit, the questions to ask on a sales call, and the red flags worth walking away from. Then you can judge the shortlist yourself instead of trusting someone else's ranking.

Published pricing and scope, checked September 9, 2026

Every figure below is what the provider published on its own pages on September 9, 2026, paraphrased with the commitment wording it states. There are no rankings, scores or test results here, and our own entry is marked as ours.

The AI receptionist at $247 a month is optional and not bundled into these plans.
AthenaFAQ: $3,000/month with a 12-month commitment; $3,600/month after an initial 90-day commitment. Pricing page wording differs—confirm the offer.40 hours a week, not a fixed monthly allowance.Dedicated full-time executive assistant, with recruiting, training and support from Athena.

BoldlyFrom $2,600/month by ACH. Cards add 2.9%; specialist work $79/hour. Separate New York pricing.40 hours a month on the entry plan.Dedicated subscription staffing. They state US staff are employees, with backup cover.
PrialtoPlan card: $1,600/unit/month; FAQ still $1,500. FAQ: 90-day minimum, $250 setup waived with a one-year agreement. Confirm current price and terms.55 hours a month per unit, per the plan card.Dedicated assistant with an engagement manager and backup cover.
Time Etc$390/month for 10 hours; $1,480/month for 40 hours. Monthly plans; no setup fee.10 hours a month, and 40 hours a month, on the plans shown here.Dedicated US-based assistant, with cover arranged by Time Etc.

Footnote: these prices differ in scope, schedule, geography, management structure and commitment, so the table is not a like-for-like ranking. Hours are quoted the way each provider quotes them, and a 40-hour week is not the same thing as our fixed 160-hour monthly allowance. Providers change their pages, so verify any figure directly with the provider before you buy.

How we compared providers

Rather than invent scores, we used six criteria you can check yourself on any provider's website or on a sales call. These are the factors that most often decide whether an engagement works.

  1. Criterion 01

    Service model

Is it a dedicated assistant, a shared pool, or a marketplace where you do the hiring? This determines continuity and how much context your assistant retains.

  2. Criterion 02

    Task coverage

Which work is genuinely in scope: admin, support, CRM, research, bookkeeping, creative? Ask what is explicitly excluded.

  3. Criterion 03

    Management and support

Who trains, supervises, and covers absence? Do you manage the person directly, and is there a named contact when something goes wrong?

  4. Criterion 04

    Commitment flexibility

Month-to-month or annual? Notice period, pause options, and how hours roll over or expire.

  5. Criterion 05

    Pricing transparency

Are rates published, or only revealed after a sales process? Are setup fees, tool costs, and overage rates disclosed?

  6. Criterion 06

    Ideal customer

Who is the service actually built for: solo owners, small teams, sales organisations, or enterprises?

How to choose between them

  1. 01Write down the ten tasks you want handed over first. If a provider cannot cover at least seven of them, the fit is wrong regardless of price.
  2. 02Decide whether you need one dedicated person or occasional capacity. Dedicated support suits recurring work; pooled or marketplace support suits sporadic projects.
  3. 03Set your real budget as a monthly number, then compare providers on total monthly cost, not hourly rate.
  4. 04Check how much management you can genuinely provide. Less time to manage means you should pay more for supervision.
  5. 05Ask about replacement before you sign, not after. The replacement policy matters more than the sales call.
  6. 06Start smaller than you think you need. Adding hours is easy; unwinding an oversized commitment is not.

Red flags to watch for

  • Precise performance statistics with no source or methodology behind them.
  • Testimonials with no name, company, or verifiable identity.
  • Pricing that only appears after a mandatory sales sequence.
  • No written replacement or cancellation policy.
  • Vague answers about who supervises your assistant.
  • Pressure tactics: countdown timers and shrinking spot counts.
  • Claims that one assistant can do specialist licensed work as well as admin.

Questions to ask on the call

  • Is my assistant dedicated to me, and do they work for other clients at the same time?
  • Who is my point of contact if quality drops?
  • What happens when my assistant is sick or on holiday?
  • What is explicitly out of scope?
  • How and when can I change hours, pause, or cancel?
  • What is the exact replacement process and timeline?
  • Which tools do you need me to pay for?
  • How do you handle NDAs, passwords, and data access?

Choose support around your business needs

Which agency suits a contractor or home-service business?

Judge it on your actual business hours, whether customer follow-up stays owner-approved, whether the assistant already knows your scheduling and CRM tools, how calendar buffers and travel time are handled, how estimates are handed to your estimator, and what the weekly report contains. Emergency dispatch and technical quoting are out of scope for us. Read the contractor guide.

Is there a virtual assistant agency under $1,000 a month?

Ours is: the Essential plan is $600 USD a month for a fixed allowance of 40 hours, month-to-month. Our other two plans are above $1,000 a month. See a sample 40-hour monthly plan.

Who should handle CRM work and lead follow-up?

Ask how an accepted lead becomes an approved response, a stage with a named owner and a due date, and then a report. Ask whether booked, attended and qualified meetings are counted separately. Pricing, negotiation and closing stay with you, and The Peak Hire does not guarantee leads, meetings or sales. Read the CRM and lead follow-up guide.

Frequently asked questions

Is this an independent ranking?

No. This guide was written by The Peak Hire, one of the providers discussed. We have not scored providers or claimed to test them. We explain a comparison method and describe the type of buyer each model tends to suit, and we ask you to verify current services and pricing with each provider directly.

How much does a virtual assistant agency cost?

It varies widely by provider, region, hours and seniority. Our own published pricing, in US dollars, is a fixed monthly hour allowance at one price on any payment method: 40 hours at $600, 80 hours at $1,100, and a full-time assistant at 160 hours for $1,600. The AI receptionist add-on is $247 a month and is optional. The comparison table above quotes what each other provider published on its own pages on 9 September 2026, with the commitment caveats they state. Prices are not like-for-like, and providers change them, so confirm the current offer directly before you buy.

Should I hire an agency or a freelancer?

A freelancer can be cheaper and faster to start if you can screen, manage, and cover absence yourself. An agency usually costs more per hour and adds screening, replacement, and continuity. If you have no time to manage a hiring process, the agency model tends to suit better.

How long does it take to get started?

That depends on the provider. At The Peak Hire, we start with a free consultation, and once we understand your needs we explain the matching timeline and next steps.

What if the assistant is not a good fit?

Ask every provider exactly how replacement works and how long it takes. Our own policy is a 14-day match guarantee: we rematch you with a different assistant at no extra cost, and plans stay month-to-month.
